Job Description:
- Our Research & Advanced Engineering (R&A) group is seeking a technically skilled coordinator to support two Directors.
- This role combines technical coordination, data and project management, and executive administrative support.
- The right candidate will be highly proficient in Microsoft 365 tools (especially SharePoint, Excel, Teams, and PowerPoint) and able to manage projects, resources, and reporting, while also providing professional executive-level support.
- The focus of this role is on technical coordination and organizational excellence-administrative duties will follow naturally for a candidate with the right technical foundation.
Key Responsibilities:
Technical & Coordination (Primary Focus):
- Develop and manage SharePoint sites and lists; oversee team access and data integrity.
- Build and maintain Excel-based trackers, resource allocations, and activity lists; drive items to closure.
- Create PowerPoint decks and materials for All Hands, leadership meetings, and large events.
- Support budgeting, financial tracking, and reporting; assist with expense oversight.
- Manage project coordination, including scheduling, deliverables tracking, and follow-up actions.
- Organize and coordinate large in-person meetings and events, including logistics, agendas, and supporting materials.
- Assist with data management and reporting to support decision-making.
Executive Administrative Support (Secondary Focus):
- Manage complex calendars, coordinate travel (Concur), and prepare expense reports. Handle executive communications with discretion and professionalism.
- Organize monthly team meetings, skip-level sessions, and director-level reviews.
- Support directors in day-to-day operations, ensuring priorities and deadlines are met.
- Provide customer-focused service to internal and external stakeholders.
Skills Required:
- 3 years of experience in a technical coordinator, project coordinator, or executive administrative role in a corporate environment.
- Strong proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), Microsoft SharePoint (site creation, list management), and Teams.
- Experience with budgeting, financial reporting, and expense management.
- Proven ability to manage data and reporting, ensuring accuracy and consistency.
- Experience coordinating projects and large meetings/events.
- Excellent written and verbal communication skills.
- Strong organizational, time management, and problem-solving skills.
- Ability to work with sensitive information while maintaining confidentiality.
Skills Preferred:
- Experience with project management tools and tracking deliverables.
- Event coordination (onsite meetings, corporate events, conferences).
- Travel management experience (Concur or similar).
- Research and data-gathering skills to support leadership initiatives.
Education Required:
High School Diploma or equivalent
Education Preferred:
Bachelor's Degree, associate degree
